Business Operations Coordinator

Working under direct CBRE supervision, provides routine day-to-day business operations support to the client Facility Support team including Safety (EHS), Work Order Management (IFOS) and Process Coordinator (ProCo) functions. Support to include maintaining records, scheduling meetings and updating action items and trackers and other similar duties.
1.Daily Coordinator duties
Develop charts or slides to support communication of key metrics or messaging.
Review operational records for completeness.
Support site-wide operational needs, such as site safety committee meetings.
Distribute FacOps messaging, such as road closures to support construction activities or messaging to support building expansion.
Support intranet page maintenance.
Schedule coordinator-related training and maintain training log for new employees.
2.EHS duties (Employee Health & Safety)
Coordinate vendor orientation?attendance, company registration and annual renewal.
Coordinate vendor completion of EHS compliance questionnaire.
Coordinate site walks for facility team and record action items.
Coordinate inspection record retention.
Coordinate statutory compliance inspection visits, including scheduling visits in advance, ensuring 3rd party vendor attendance and maintaining tracker for issues / observations.
3.Work Order Management duties
Attach records to CMMS work orders to document completed PMs and Corrective Maintenance.
Insert links to update PMs.
Audit asset tags for equipment.
Coordinate warranty work orders and distribution to owners ? track closure metrics of warranty items.
Financial asset auditing
4.Process Coordinator duties
Update trackers for construction / retrofit work.
Maintain assessment action items and observations tracker.
Maintain incident report action item tracker.
Schedule training.
Copy links to trackers.
Assist in procedure processing and tracking
Supporting transition of construction turnover documents, on-going upload of drawings to customer system.
Other duties as assigned.

High school diploma or general education degree (GED) with a minimum of two years of related experience and/or training.
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
Intermediate skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc.
Knowledge of Financial software systems (e.g. PeopleSoft, MTA, VAS and I-Track).
Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
